Customer credit (kasbon) without a notebook: limits, records, and collection

Operations · 2026-10-17 · 5 min read

Kasbon brings loyal customers back, but it also ties up the shop’s money. How to record it so nothing is forgotten and nobody goes over their limit.

Kasbon is money owed to you

In many shops, kasbon is written in a notebook under the counter. This works as long as one cashier remembers every customer. Once there is a second cashier, a night shift, or a branch, the notebook starts to have holes: some entries are forgotten, and some customers have paid but have not been crossed off.

In bookkeeping terms, kasbon is a receivable. The item has gone out, the stock has gone down, but the money has not come in. If kasbon is not in the financial report, the profit on paper looks the same as the money in the drawer, when in fact part of it is still with customers.

A limit for each customer

In Lamxo, kasbon can only be given to registered customers, and each customer has a kasbon limit that you set. The cashier cannot give kasbon beyond the remaining limit. A customer who has used up the limit must pay part of it off before taking more items on kasbon.

One transaction can be paid in a mix, for example part cash and the rest kasbon. Every kasbon is recorded as a shop customer receivable in the financial report, and every repayment reduces that receivable, so you always know how much of the shop’s money is still outstanding.

Collecting politely

Collecting is much easier when you can show the details: date, items, and balance. A kasbon list for each customer and a kasbon report for each outlet are prepared for this. Also set the same habit for all cashiers, for example kasbon falling due every payday, so customers do not feel they are treated differently.

The limits

Lamxo does not collect on your behalf and does not send automatic reminders to customers. The record of a customer with unpaid kasbon cannot be deleted until the kasbon is settled, because the money records must be kept.
